The action process

Introduction


The action process is triggered when a new action is created in the plan.


*Note*: The configuration of visible, read-only or mandatory fields is defined during the solution configuration. Some fields present in the example below may therefore differ from your application.

Creating an action


The creation of an action is done from the Action Plan management, by the plan manager.


Adding a new action opens a registration window where several pieces of information are mandatory.


To register an action, the user must:


  • Enter *an action title*


  • Select *an action type*


  • Select *a planned due date*


  • Select the *action assignee* who will be in charge of carrying out the action



Other fields are available to complete the action such as priority, description, objectives to achieve and also *people to inform* (these are notified at the end of the circuit - either after completion if there is no effectiveness measurement, or after the effectiveness measurement if it was requested when creating the action).


The "Application scope" tab allows adding metadata to the action for reporting purposes.



Action implementation


The action assignee cannot modify the action description. He can complete the progress status of actions assigned to him by:


  • adding sub-tasks in the table of the 'Implementation' tab (Note: these sub-tasks will not generate tasks in Agilium, nor send emails to the managers designated in this table. They are here for informational purposes - to detail the main action).


  • completing the action cost



The "Progress" field list contains 3 values:


  • In progress: the action remains with the action assignee
  • Refused: the action appears as abandoned (with the comment 'Refused')



  • Completed: the action is finished


Effectiveness measurement


When the plan manager requests an effectiveness measurement, the action, once completed, can be evaluated.


The effectiveness measurement ensures traceability in the continuous improvement of the organization.



Postponement of effectiveness measurement


It is possible to reschedule the effectiveness measurement by selecting the "Action status" to "Reschedule".



In this case, a new measurement date must be entered in the "Reschedule to" field.


Once this step is validated, an email is sent to the plan manager to remind them that the effectiveness measurement has been postponed for this action.


The values entered at this step (Evaluation date, Evaluation, Comment, Reschedule date) are moved to the "Evaluation history" table.


In the action plan, the action then appears with the status "Efficiency postponed".



When viewing the action (via the plan or the action list), the values entered during the effectiveness measurement step are found only in the "Evaluation history" table.



On the reschedule date, a new task to process "Effectiveness to measure" appears for the plan manager.


When the plan manager opens their task, they have the following display:


  • The evaluation date is updated with the current date.
  • The "Evaluation" choice must be reselected.
  • The "Evaluation criterion" and "Comment" fields are taken from the previous effectiveness measurement.
  • The action status must be reselected.
