Referentials management for audits

From the home page, click in the menu on "Administration / Referential management" to expand the menu. This feature allows customization of the form dropdown lists. All application dropdown lists are customizable from the referential manager.

Audit types

It is possible to specify that an audit type concerns internal realization. In this case, this allows performing the preparation step during planning.

In the case where the realization is not internal, the audit will go directly to the summary step.

Finding type

It is possible to configure a finding type so that it automatically generates the creation of a non-conformity and that it is associated with a particular NC type.

We see below the example of the finding type "Major Non-Conformity" which generates the creation of an NC that will be classified in the "Audit" type (cf. "SMQ Steering" page)

Tiles

Tiles allow displaying a rectangle offering a behavior.

Tiles are available in the "Tiles" tab.

The following elements will be found:

Tile "Link (URL)"

The tile "Link (URL)" allows inserting a tile that redirects to an address (internal agilium or external).

For each URL tile in the properties on the right you can modify:

The tile title
the url
specify to open this link in a new browser tab
change the tile style (size, background and border), change the label layout relative to the icon, change the icon, change the color, change the border width.

Important:

|| To specify an external URL to Agilium, it must start with "http://" or "https://"

|| To specify an internal URL to Agilium, it must start with "main.jsp?page=xxx"

Tile "Navigation (dashboards)"

The tile "Navigation (dashboards)" allows inserting a tile that redirects to a dashboard.

For each navigation tile in the properties on the right you can modify:

the tile title
Select the target dashboard to open
change the tile style (size, background and border), change the label layout relative to the icon, change the icon, change the color, change the border width.

Scheduling audits

Introduction

The audit schedule provides a synthetic view of all organization audits. Filters are available to ensure that each site or process is evaluated according to the required periodicity.

The schedule

The schedule displays all audits by month. Audits to be validated appear in blue, validated audits appear in green and completed audits appear in gray.

The user has filters on the left, allowing them to filter audits by Name, Audit type, Domain, Referential, Grid, Site, Responsible, Group, Status.

By default the schedule displays the current month. However, it is possible to change the month by clicking on the arrows available at the top center.

Each audit is displayed with 2 colors:

A vertical bar on the left that can represent either the audit type, the audit grid, or the audit status.
A circle at the bottom right that represents the audit status.

These colors are configurable in the 'Audit' part of the configuration and the referentials (Audit types, Audit, Audit statuses).

Audit creation

The creation of a new audit is done from the audit schedule.

The interface offers the user 2 types of planning:

The creation of a single audit by simply clicking on the concerned day
The creation of an audit group

Audit planning

By clicking directly on a desired day (or a range of consecutive days), the form below is displayed.

New Entrant: Have a new employee read documents

The creation of a new entrant and the consultation of new entrants is done via the menu "Human Resources > History".

The History screen contains:

A "Declare a new entrant" button to add a new collaborator and have them read a bundle of documents from the DMS.
The list of current new entrants (columns can be sorted, filtered, hidden). This list can be exported (in PDF, Excel, CSV, Text, etc. formats).

The last column (named "Documents") allows knowing the number of documents read by the new entrant compared to the number of documents to be read by the new entrant. This ratio is a clickable button that displays a popup like this:

This popup contains the following columns:

The name of the document to read.
The optional comment from the new collaborator (entered when they read the document).
The sending date of the document to read.
The reading date of the document by the new collaborator.

The request creator receives an email when the collaborator has read all their documents.

Declare a new entrant

To have a new collaborator read DMS documents, click on the "Declare a new entrant" button:

Audit report customization

For reminder, each audit can have a specific report in docx format.

Audit reports can be easily customized by using the following tags in the template document.

To ensure proper operation, we recommend copying/pasting the tags to avoid typing errors or incorrect Word encoding.

Roles and users

User management

To access user management, select in the administration menu (gear wheel) the menu "Users".

Users are presented in table form. It is possible to create / modify / delete user profiles.

To consult or modify a file, click on the name of the concerned collaborator.

Add a user

To add a new user, click on the button at the top right of the screen "Add a user".

You can also add a user by duplicating an existing user with similar roles (you will still have to enter their identity, their file will take the roles of the duplicated one)

The "profile" window allows you to enter the collaborator's information. Note that the following fields are mandatory.

Username (login that must be unique)
Password / Confirm password
First name / Last name
Email
Site
Language

The "role" window allows you to assign to the user, the role(s) available in the application.

Delete a user

To delete a collaborator, click on the red cross.

Attention: you will not be able to delete a collaborator if the latter has tasks in progress.

Role management

Role management allows you to create user groups that will allow, for example, to define rights on folders or to assign process act
